AI agent or chatbot: which one should be answering your customers

Both “talk to customers”. One costs €350, the other €2400. The difference is not intelligence, it is permission to act.

In short

A chatbot answers from a script written in advance and stalls at the first unexpected question. An AI agent understands the question in the customer's own words, looks the answer up in your real data, and is allowed to perform an action: check availability, book a slot, create a lead in your CRM. A chatbot is the right choice when the questions repeat and there are few of them. An agent becomes justified when you lose customers because nobody answers in time, or when bookings are taken by hand.

The difference, in practical terms

The words “bot”, “chatbot”, “AI assistant” and “AI agent” are used almost interchangeably in sales material, which makes comparison impossible. The practical difference is a single one and it is easy to check: is it allowed to do something, or only to say something?

Scripted chatbot. It has a tree of questions and answers written by a person. The customer presses a button or types something matching a rule, and the bot returns the attached text. Cheap, predictable, never invents anything. It stalls the moment a question resembles nothing in the script — and the customer writes “I want something for the yard but I'm not sure what” at exactly that moment.

AI agent. It reads the question as written, looks the answer up in your data (prices, services, hours, rules), composes a reply, and where needed calls a system: checks a calendar, creates a lead, sends a quote. More expensive, more capable, and it carries a risk the chatbot does not: it can invent if it is not constrained properly.

There is no “better” in general. There is what fits the volume and kind of questions you actually receive.

When the simple chatbot is the right choice

If 80% of the messages you get are five or six repeating questions — “what are your hours”, “where are you”, “what does X cost”, “do you deliver to Balti” — a chatbot handles them as well as an AI agent, at a tenth of the price and with no risk of a wrong answer.

It is also the right choice when answers must be identical every time for legal or regulatory reasons, or when you have no structured data for an agent to rely on.

Realistic cost: from €350 for a support bot on Telegram or your website, capturing contact details and handing over to a human.

The mistake here is the opposite of the usual one: companies paying for a full AI agent to answer “what are your opening hours”. If that is the need, do not pay more.

When the AI agent earns its price

The agent pays for itself in three very concrete situations:

1. You lose customers because nobody answers in time. Messages that arrive in the evening, at the weekend, or while the team is on site. If you get 30 messages a day and a quarter go unanswered in the first hour, some of those people are already writing to a competitor. Here the agent does not save time, it brings in revenue that was otherwise lost.

2. Bookings are taken by hand, over the phone. Clinics, salons, workshops, schools. An agent connected to the calendar checks real availability, offers open slots, confirms and sends reminders. Both the phone time and the no-shows go away.

3. Leads are lost between chat and CRM. Someone copies phone numbers out of WhatsApp into a file, sometimes. An agent writes straight into Kommo, amoCRM or Bitrix24 with the full context of the conversation. Nothing is lost any more because it was a busy day.

Realistic cost: from €1200 for one channel, €2400 with several channels, booking and CRM integration, €4500 with a voice agent on the phone. Plus a monthly cost from €120 for hosting, model usage and support.

The real risk and how it is controlled

The right objection to an AI agent is not the price but: what if it tells a customer something wrong? The risk is real and has to be treated as such, not denied.

It is reduced by four things, all verifiable before launch. Training strictly on your data — the agent answers from your prices and rules, not from what it read on the internet. Explicit limits — a list of subjects it never discusses (unapproved discounts, deadlines you cannot hold, medical or legal advice). An obligation to hand over — when unsure it says it does not know and calls a human instead of improvising. A complete history — every conversation is stored, so you can see exactly what it said and correct it.

The right way to launch is to run the agent alongside your team for a few weeks: it proposes the answer, a person sends it. You see where it gets things wrong before it talks to customers on its own.

How to choose in two minutes

Look at the last 50 messages you received on WhatsApp or Instagram and count: how many are resolved by a fixed answer?

Over 80% — take the chatbot. You will pay €350 instead of €2400 for the same result.

Between 40% and 80%, and there is an action to perform (a booking, a quote, an order) — take the AI agent. The price difference comes back through bookings that no longer get lost.

Under 40%, and every customer needs a long personal conversation — take neither for now. Invest in internal process automation that takes repetitive work off your people, and let them talk to the customers.

At ARTYONIX we build both: chatbots and Telegram bots from €350 and AI agents from €1200, live in 3 weeks. Send us 10 questions you get often and we will show you free of charge how each option would answer them — including when the honest answer is that the cheap one is enough.

What to remember

  • The difference is not intelligence, it is permission to perform an action in your systems.
  • A chatbot is right when over 80% of messages are resolved by a fixed answer — from €350.
  • An agent is justified by unanswered messages, manual bookings, and leads lost between chat and CRM.
  • The risk of an invented answer is real: controlled by training on your data, limits, handover and history.
  • Run it alongside your team for a few weeks before letting it handle the main channel alone.
  • The quick test: of your last 50 messages, how many are resolved by a fixed answer?

AI agents and chatbots FAQ

A chatbot answers from a script written in advance and stalls at the first unexpected question. An AI agent understands the question in the customer's own words, looks the answer up in your data, and can perform an action — a calendar booking, a CRM lead, a quote sent.

A support chatbot starts at €350. An AI agent on one channel starts at €1200, with several channels and CRM integration €2400, and with a voice agent on the phone €4500 — plus a monthly cost from €120 for hosting, model usage and support.

The risk exists with any AI model. It is reduced by training strictly on your data, explicit rules about what it never discusses, and an obligation to hand over to a human when unsure. Every conversation is stored, so you can check exactly what it said.

A chatbot in 1–2 weeks. An AI agent on one channel in 3 weeks, and 5–7 weeks with CRM integration and booking, depending on how quickly access to existing systems is granted.

Yes, for Kommo, amoCRM, Bitrix24, HubSpot, Google Calendar and booking systems. If your system has its own API we connect to it; if it has no API we discuss the options before promising anything.

English, Romanian and Russian within the same conversation, switching when the customer does. Other languages are added on request using the same training data.
